General Questions

When is the conference?

Novo Conference 2026 will run from July 17 to July 22, 2026. The 17th and 22nd are travel days with no official session being held. Please see our schedule page for more details.


What is the elevation?

Beaver Run Resort sits at 9600 feet above sea level. For most this will be an adjustment. A good strategy is to arrive in Denver early and either stay near the airport, or head up to Beaver Run a night or two ahead of conference. If you choose to head to Beaver Run early, you can select extra nights during registration. In addition, use this link to see some additional strategies for dealing with high elevation.

Is there a pool?

Yes, there are pools at both buildings 3 & 4, with building 3 having both indoor and outdoor options.

If I arrive early are my meals provided?

Meals are not provided during the extra days/nights. There are numerous food options close by and a restaurant onsite.

What meals are provided during the conference?

See orange highlighted sections in the schedule below. In addition, for those that eat breakfast, there are local vendors, and Novo will provide some light breakfast snacks for your room.

What if I have food allergies?

We will be working with the resort catering staff to provide options, as best we/they can, to meet dietary needs and restrictions. Do not hesitate to email the conference team (conference@novo.org) so we can be aware of any needs.


Registration Questions

When is the conference?

Novo Conference 2026 will run from July 17 to July 22, 2025. The 17th and 22nd are travel days with no official session being held. Please see our schedule page for more details.

When can I register?

Staff can register starting May 8, 2025.

All other attendees will be able to register starting June 1, 2025.

The Early Bird discount ends Oct 31st. To avoid missing out, please be registered by then.

When are payments due?

For staff, you will be asked for your fund during registration. All fees will be deducted from your fund on Oct 31, 2025. Make sure to use your six-digit fund code, and include the dash. Ex: 0000-00.

For all others, credit card payments will be due at the time of registration.

What if I’m attending alone and want to share a room?

We suggest networking with Novo family and friends, or you can request access to the Roommate Locator page to connect with others that are looking for a roommate.

If you registered as an individual and at any point decide to share a room, you will need to modify your original registration to add all additional people. Please DO NOT have add-ons register on their own. This will result in multiple room reservations. Please email the conference event team (conference@novo.org) if you have questions or issues.

What if I need to split costs with a roommate?

For those paying with a Novo Fund: The fund listed at the time of registration will be charged on Oct 31, 2025. Either party can submit an internal transfer for the amount of the split. You can use this link to do so.

For those paying by card: The card you give during registration will be charged when you submit. If you need to split charges with someone else you will have to coordinate that outside of the registration system.

Can I use ministry expenses for my children?

Novo is very careful to adhere to IRS rules, the answer is yes, staff can register their children using their expenses/fund. However, travel for children cannot be submitted as an expense.

Is there an option to stay extra nights?

During registration you can select either 1 or 2 extra nights before conference. Rooms those nights are available at a lower rate than conference nights as there are no conference meeting spaces or meals needed, or included.

If extra nights are not requested during your registration, no worries, your registration can be updated. To do so, please follow one of the following options.

Paying with your Novo fund: Please use this link to request extra nights. If you try to modify on your own it will require a credit card and you will need to submit receipts for reimbursement.

Paying by card: You can modify your registration by using the link in the confirmation email you received. Additional charges will be applied at that time.

Extra nights post conference will be at the discretion of Beaver Run Resort, and may result in a room change. There is another conference group coming in immediately after Novo so your room may already be reserved.

Can I cancel my conference registration?

Our hope is that you will attend the conference for all the good that happens at these events. That said, “life happens” and we understand that there are legitimate reasons to need to cancel. If you should need to cancel please email us and be aware of the policy below. (You could be subject to cancellation fees for all or part of your registration fees.

Cancellation and Refund Policy

Novo makes commitments to hotels that put the organization “on the hook” financially. This commitment limits what Novo can offer in regard to refunds. In other words, the contracts we enter into have policies and dates that Novo is bound by. If you should need to cancel please email us and be aware of the following policy conditions:

  • Any refund due will be issued after the conclusion of the conference.

  • Cancellations that take place before Nov 1, 2025 will receive a 100% refund.

  • Cancellation between November 1 and March 1, 2026 will receive a 50% refund of the total fees paid.

  • Cancellations after March 1 do not qualify for a refund.

IMPORTANT NOTES/EXCEPTIONS:

If Novo is able to resell your canceled room to a new attendee, Novo will refund your whole fee after the conclusion of conference.

In extreme cases (death of a family member for example), we have seen hotels “show mercy” and in other cases Novo has decided to eat the loss and allow one-off cancelations with refunds. If this is the case, please do include details in your email cancellation and we will do our best to get an exception.

*Early Bird discount applies to room costs only. Adding someone to your registration after the deadline will not affect this as long as your original registration was completed prior to the deadline.

Is there a shuttle to/from the hotel?

Yes. We will have more information in the near future.

Will there be a kids’ program?

Yes, Novo is committed to making our staff conferences kid friendly. Please email us (conference@novo.org) with specific questions.
